We are looking for a Client Host to be the first point of contact for our clients at our Kandy location. This role requires a professional who can manage front-line communication with confidence, provide reliable assistance to both clients and internal teams, and create a welcoming environment at all times.

Position Summary:

As the Client Host, your core responsibility is to ensure that every client interaction—whether it’s a walk-in visit, a scheduled meeting, or a phone inquiry—is handled with attentiveness and accuracy.

You will manage the front office and waiting area, direct clients to the right personnel, handle basic administrative tasks, and keep communication flowing smoothly between clients and staff. You will be expected to remain composed during busy periods and apply consistent procedures to every interaction.

This role demands punctuality, attention to detail, and a strong sense of professionalism. It’s suitable for someone who is naturally organized, has good judgment, and can maintain a pleasant and focused attitude throughout the workday.


Key Responsibilities:

  • Greet clients and visitors professionally upon arrival and direct them appropriately.
  • Manage the front desk area and maintain a tidy, welcoming environment.
  • Handle incoming phone calls and email inquiries, routing them to the correct team or providing direct assistance when possible.
  • Maintain client records, appointment schedules, and visitor logs in accordance with company procedures.
  • Confirm appointments in advance and follow up on cancellations or reschedules as needed.
  • Manage incoming and outgoing mail, parcels, and deliveries efficiently.
  • Assist clients with filling out forms or submitting required documents where applicable.
  • Coordinate with internal teams to ensure smooth handovers or waiting times for clients.
  • Maintain confidentiality and security of client information at all times.
  • Monitor stock of front desk supplies (e.g., forms, brochures, refreshments) and request replenishments as needed.
  • Alert management about recurring client concerns or areas of improvement in client service delivery.
  • Support internal staff with basic clerical or coordination tasks during quieter periods.
  • Ensure all safety protocols for visitors and clients are followed, especially during peak hours or in high-traffic areas.

Required Qualifications:

  • GCE Advanced Level (A/L) qualification or higher.
  • At least 1 year of experience in a customer-facing or front office role.
  • Proficient in English and Sinhala (Tamil is an advantage).
  • Comfortable using email, Microsoft Office (especially Word and Excel), and basic phone systems.
  • Ability to communicate clearly, calmly, and professionally with individuals from diverse backgrounds.
  • Strong attention to detail, especially when handling client information or documents.
  • Good time management and the ability to stay organized under pressure.

  • Experience in hospitality, client services, or reception roles.

Work Conditions:

  • This is a full-time, in-person role based in Kandy.
  • Work hours are Monday to Friday, 8:30 AM to 5:00 PM. Occasional Saturday morning shifts may apply.
  • The role is primarily desk-based, but involves regular movement within the premises (e.g., guiding clients, retrieving documents).
  • You will be expected to wear professional attire, which reflects the company’s standards of presentation.
  • The front office is a high-visibility area; consistent professionalism is essential.
  • You may occasionally be asked to support minor administrative projects when time allows.
